Inviting and managing team members

Add your team and set their access.

3 min read

Owners and admins invite team members by email address from Settings → Members. There's no automatic invite email sent on your behalf — instead, the invite generates a link you send them directly however you prefer. The link expires after 7 days, works only once, and only for the email address you entered (or the same person's other Microsoft 365 address, if your synced directory links the two), so a forwarded or leaked link can't be used by anyone else. Each organisation holds members plus pending invitations up to its plan's seats — Free 1, Starter 5, Growth 10, unlimited from Business; a managed client uses its MSP's plan. At the limit, Invite Member turns into an upgrade prompt.

  1. 01

    Open Settings → Members

Shows every current member and their role, plus pending invitations, which you can copy again (Copy invitation link) or revoke (Revoke invitation) from their menu. Invite Member sits at the top.

  2. 02

Enter their email and choose a role

Type their email — the box suggests matches from your People list — choose Admin or Member (read-only), then Create Invite Link. On an MSP workspace the choices are Admin, Tech and User, and you tick the clients a Tech or User should reach under Client access.

  3. 03

    Send them the link

Copy the generated link and send it to them directly — however you'd normally reach them. They need to verify their email address before they can accept. If it lapses before they use it, just create another. Acting as MSP staff, your owners and admins can invite people into a client only at Member (read-only) level, and techs can't invite into a client at all. Promoting someone to Admin is the client organisation's own call — including the person who added the client, who is an admin of it.

Change a role or remove someone

Each member's ⋯ menu offers Change Role, Client access… on an MSP workspace, Transfer ownership on an Admin's row (for the owner), and Remove User. The owner can't be removed. Removing someone ends their access — they can be invited again later — but doesn't release anything their People record still holds: the dialog says what they hold and offers Offboard first. Removing someone from an MSP workspace also ends their direct access to its clients, except clients they own, which they keep until ownership moves.
