Custom fields and types

Track the extra details your organisation cares about.

3 min read

Settings → Custom Data (owners and admins) lets you extend the built-in records. Fields adds your own fields to hardware, licences or certificates; Types adds your own item types to the forms' Type lists. Statuses stay fixed — AssetSort derives them — so there's nothing to customise there. An MSP can copy its fields and types to each new client, and push them to existing clients later with Apply configuration on MSP → Clients.

  1. 01

    Add a field

On the Fields tab choose New field, name it and pick a type: Text, Long text, Number, Currency, Date, Single select, Multi-select, Yes / No, Link or Email. Select types take a list of choices. Choose which records it applies to (Hardware, Licences, Certificates), whether it's required, and check the preview before saving. The field then appears on those records' forms and pages, and you can edit it later from the same list.

  2. 02

    Remove a field

Deleting a field takes it off new and existing records, but the values already saved stay in your data and return if you recreate the field.

  3. 03

    Add a type

On the Types tab choose New type, name it and choose what it applies to. Your types appear next to the built-in hardware and certificate types; licences have no built-in types, so a licence's Type list only appears once you add one. Built-in types can't be edited. Renaming or deleting a type leaves existing records on the old name.
