The onboarding checklist
Connect an integration, import your fleet, invite your team.
4 min read
Once your workspace exists, these are the steps worth doing in order. None of them are mandatory on day one — you can use AssetSort with entirely manual data entry — but each one saves real time as your fleet grows.
- 01
Connect Microsoft 365 (Growth plan and above — the biggest time-saver)
In Settings → Integrations, connect your tenant. This is a one-time, tenant-wide connection that a Global Administrator approves once — it then syncs your Microsoft licences, directory users, Intune and Entra devices, Entra groups and app-registration credentials automatically, so you're not entering them by hand. The integration requires the Growth plan or above; a managed client inherits its MSP's plan, so a client org doesn't need its own subscription. See "Connecting Microsoft 365" for the full walkthrough.
- 02
Set your organisation's branding
In Settings → Organization, add your logo, accent colour, legal name and a report footer line. This is what appears on every PDF report and QBR pack you generate — worth doing before you send your first client report.
- 03
Add your hardware, licences and certificates
Add items manually from each section's "Add" button, or let the Microsoft 365 sync populate them. The sync brings in licences, people, Intune/Entra devices (as Hardware) and Entra app-registration credentials (as App Credentials). TLS certificates and compliance certifications have no Microsoft 365 equivalent, so those are always entered by hand.
- 04
Invite your team
In Settings → Members, invite colleagues as Admin or Member. Each invite generates a link you send them directly — there's no automatic email. The link expires after 7 days, can only be used once, and only works for the email address you entered.
- 05
Set your alert windows
Alerts for expiring licences, certificates and warranties are on by default. Two places control them: Settings → Organization → Advanced Settings sets the org-wide expiry/renewal lead time (default 14 days) and the device lifecycle (default 3 years), and Settings → Alerts controls which alerts email you (My notifications) and, for admins, the per-rule thresholds (Organisation rules).
