Data portability and switching

Last updated: 10 October 2026

You can take your data out of AssetSort at any time, at no charge. This page describes what can be exported and how, how to switch to another provider, and where the service's infrastructure is. It forms part of §12 of our Terms of Service.

1. What you can export

ExportWhereFormatContains
Organisation exportSettings → Organization → Export, with “include data” ticked (organisation owner, or an admin of the managing MSP)JSON (UTF-8), kind “assetsort-export”, version 2.1Custom fields and item types; organisation settings (currency, alert lead time, device lifecycle, contact, branding); folder structure; tags; people (name, email, phone, job title, leaving and left dates); hardware, licences and certificates with their details, notes, custom fields and costs; tag assignments; who holds what; links between items; certificate renewal history

ReportsReports → Download; the security assessment from the Security pagePDFAsset inventory, subscription spend, renewals, hardware lifecycle, device compliance, people, licence utilisation, alerts, AI adoption, the quarterly review pack and the security assessment

The organisation export is a single file that AssetSort can also import, so it is the most complete way to move an organisation. Its structure is versioned: each file states its kind and version at the top, and its sections are config, settings and data (with structureNodes, tags, people, items, itemTags, itemAssignees, itemLinks and certificateRenewals). We keep this page up to date when the structure changes.

2. Known limitations

  • The organisation export does not yet include members and invitations, uploaded documents, alerts and alert history, or security assessments, and holds the activity log only through its separate CSV export. Documents can be downloaded individually and alerts and assessments are available as reports; ask us at support@assetsort.com and we will provide the rest as part of a switch.
  • People, devices and licences synced from Microsoft 365 are in the export. The sync state is not — multi-factor and risk status, raw Intune and Entra device records, sign-in times and Entra app credentials — because it is a copy of what your Microsoft tenant holds and stays available from Microsoft to whichever service you connect next.
  • Exports reflect the moment they are made; changes made afterwards need a new export.

Not exportable, because it is specific to how the service itself works: internal job and synchronisation state, rate-limit counters, and the alert engine's internal bookkeeping. None of it is information you entered or that describes your estate.

3. How to switch

  1. Tell us you want to switch, or simply want your data erased, at support@assetsort.com. No notice period applies.
  2. For up to 30 days the service keeps working as before while you export; we help you and the provider you are moving to, and tell you of any known risk to continuity.
  3. Then your organisation is archived read-only for at least 30 more days, during which you can still export everything.
  4. After that we erase all exportable data. Backups expire on their own, as described in our Data Processing Agreement.

There are no switching or data-transfer charges. Every limit and right here is set out in §12 of the Terms.

AssetSort is operated from the United Kingdom and is subject to UK law. Several of our providers are United States companies, so data they hold may be subject to US law even when it is stored in the UK or EU. The providers are listed on our sub-processors page.

5. Protection against unlawful government access

We do not give any public authority access to customer data unless we are legally required to. If a request comes from outside the UK or the European Union, we will check whether it conflicts with UK or EU law and refuse it if it does. Where the law allows, we will tell you before we disclose anything, and we will disclose no more than the request strictly requires. In addition, customer data is encrypted in transit and at rest, it is held in the UK except where §4 says otherwise, and only our authorised staff can reach the production systems.
